How to Request Donations


Guidelines for Requesting Donations

Southwest Airlines is proud to support many charitable organizations within the communities we serve. Our Employees devote many hours as citizens of the community and as Southwest Employees, serving and volunteering for many charitable organizations.

We are proud to donate to organizations in need of raising funds or to help offset travel expenses. In order to ensure that we have the proper information to evaluate and process your request, please follow these guidelines.

How to Request a Donation

  • Please mail requests to the address below. We are not able to accept fax or e-mails for donation requests.
  • In order to have enough time to process your request, we ask for a minimum of 45 days prior to the event (if you have printing deadlines/RSVP requirements, the 45 days should be prior to your first deadline.) Please note that due to the high volume of requests, we are not able to verify receipt of your request.
  • We will notify you by phone or in writing of our decision approximately 30 days prior to your event.
  • If granted a donation of tickets, please know that the tickets are valid only on Southwest-operated flights within the continental United States.
  • All requests should be on the organization’s letterhead and include a copy of your group's 501(c)(3) determination letter.
  • To assist us in our record-keeping as well as to ensure we can make the best evaluation, please include:
    • The name of the organization.
    • A description of the fundraiser.
    • The specific date of the event.
    • The number of people expected at the event.
    • The beneficiary of the funds.

Eligible Organizations

  • Southwest Airlines donates to 501(c)(3) charities.

    With this in mind, we are not able to donate to the following:
    • Individuals independently raising money for the nonprofit. This includes racers or bikers needing pledges or raising money for charitable organizations.
    • Pageants and the individual contestants for any part of the event or process.
    • Bachelor/Bachelorette Auction events.
    • Individuals or groups seeking to raise money for personal goals such as traveling for conferences, training or learning programs, travel for reunions/anniversaries, mission trips, travel for races, contests, or competitions, etc.
    • Any preschool or nursery schools.
    • Federal or Corporate United Way campaigns.
    • Online auctions.
    • In order to ensure that we are able to Share the Spirit with as many organizations as possible, we ask that schools and charities make only one request per year for support of a fund-raising activity.
    • We ask that you not request donations for Incentive or Appreciation events where tickets will be given to individuals in recognition of goals met or to encourage higher participation. Examples include, High School Graduation or Prom-related events, door prizes at conferences, membership drives, etc.
    • Clubs, groups, and smaller organizations within a school will qualify as that public or private school’s one request per year. For example, booster clubs, athletic departments, or academic groups.

Southwest Airlines Medical Transportation Grant Program

Southwest Airlines is proud to Share the Spirit® and partner with the following hospitals and organizations in our Medical Transportation Grant Program.

In this program, we will annually donate tickets to medical institutions for allocation to individual patients with financial or medical needs. Each hospital has its own guidelines for administration of these tickets, so please contact the Social Work, Travel/Concierge Service or Patient Assistance Department directly from one of the links below to see if you qualify for travel assistance.
