  1. Why does Southwest Airlines require pre-payment on some bookings and not others?

    Southwest Airlines is offering thousands of hotel properties at competitive pricing. These rates generally require payment in full and cancellation penalties may apply. Because of the competitive rate, these hotels do not award Rapid Rewards credit for the hotel stay. Southwest Airlines offers alternative rates through their Rapid Rewards Partners that will award credits for a hotel stay. These rates can be seen by selecting the "Search by hotel chains that offer Rapid Rewards Credit" checkbox on the Hotels plan trip page.

  2. What if I don't want to pre-pay for my hotel?

    If you reserve a room through one of our Rapid Rewards Partner hotels, you will not be required to pre-pay for your hotel room. However, depending on the hotel policies, you may be required to pay a deposit to hold your reservation. You will be charged at check out for the room, associated taxes and fees and any incidental charges you incurred during your stay. You do not need to be a Rapid Rewards Member to book these hotels.

  3. How do I know the cost of my pre-paid hotel booking?

    As you search through the hotels, you will see rates displayed for a variety of room categories a particular hotel may offer. You may choose any one of the various categories a hotel has available. Before you confirm your final room booking, the total price will be displayed including all required taxes and fees.

  4. What if I decide that I want to receive Rapid Rewards credit for my hotel stay during the booking process?

    Southwest Airlines offers an opportunity for you to change your preference to receive Rapid Rewards credits. Look for the "Receive Rapid Rewards Credit" logo and select the "Display Rates" link to view the rates that are eligible for Rapid Rewards credit.

  5. Can I change my pre-paid hotel booking after I purchase it?

    Currently, all changes are considered cancellations. You will need to make a new booking for the new dates of stay and/or new location and then cancel your old booking. The cancellation penalty fee you were advised of at the time of booking will apply. Note: Always make the NEW booking first before making a decision to cancel your existing booking. You may be disappointed if no rooms are available after you have cancelled your old booking.

  6. How do I cancel my reservation?

    Any cancellation must be done on the southwest.com website. Retrieve your existing reservation by navigating to the Travel Tools section and select Cancel Hotel Reservation from the Hotels section. You will need to know:

    • Hotel Confirmation Number
    • Billing First and Last Name
    • Date of Check In

  7. How do I get my purchase price for the hotel reservation refunded if I cancel?

    Your refund, less any cancellation penalties will automatically be credited to your credit card account. Cancellation penalty notification is communicated to you prior to your reservation and also during the cancellation process.

  8. How does the hotel know I am coming and that I have pre-paid my stay?

    Your reservation is in the hotel's computer system. The Front Desk will access your hotel confirmation number at the time of check in. The confirmation number will need to match the one the hotel has in their computer system. We recommend that you carry a print-out of your confirmation page or e-mail with you to have your hotel confirmation number and, if you provided, your Rapid Rewards account number. You must show your Rapid Rewards account number at the hotel in order to receive credit for your stay.

  9. What if I am unable to complete my hotel stay for a pre-paid booking?

    You are financially responsible for all nights of the hotel stay. The hotel is not authorized to make an exception to this policy.

  10. Do I need a voucher or any paperwork to check in at my hotel?

    No, a paper voucher is not required to check in. We do recommend that you carry a print-out of your hotel confirmation page or email. This allows easy access to your hotel confirmation number and Rapid Rewards account number, if applicable.

  11. What if I have questions or need help during my trip?

  12. What do I do if I click the purchase button and do not receive a hotel confirmation number?

    If you do not receive a confirmation number within 15 seconds, you can contact our hotel help desk at 214-792-5070 to verify your reservation has been confirmed. Please have the first and last name of the guest and the check-in date.
